A Saudi-based financial services company helps individuals and businesses connect with suitable loan providers and financing partners across the Kingdom. As their client volume grew, their reliance on spreadsheets, manual follow-ups, and fragmented communication became a serious operational constraint — slowing response times, creating data gaps, and making it impossible for leadership to see the loan pipeline clearly.

We were engaged to replace that fragmented infrastructure with a centralised, purpose-built internal CRM platform that could manage the entire borrower journey — from initial enquiry through document verification, bank matching, approval workflow, and repayment tracking — from a single system.

The platform was designed to scale. As the company grows its agent team and expands its financing partner network, the architecture supports that growth without re-engineering the core.

The Challenge

Before the CRM, the company's operations were running on processes that worked at small scale but created compounding problems as volume increased:

  • Loan applications managed via spreadsheets — no single source of truth, no visibility into which agent owned which application, no automatic status tracking
  • Manual follow-up on every case — agents tracked next actions in personal notes and email, leading to missed deadlines and inconsistent customer communication
  • No centralised borrower records — customer data was scattered across email threads, WhatsApp conversations, and individual agent files
  • Manual document collection — no structured process for requesting, receiving, and verifying identity and financial documents
  • Slow communication loops — delays between customers, agents, and financing partners with no automated notifications or status updates
  • No operational visibility — management had no real-time view into pipeline health, team performance, or approval rates

The business needed a system that could bring order to every stage of the loan lifecycle, enforce consistent workflows across the agent team, and give leadership the visibility to manage and grow operations effectively.

Our Solution

We designed and built a complete custom loan CRM covering seven integrated modules — each addressing a specific operational failure point, all connected into a single coherent system.

Module 1 — Customer & Borrower Management

A centralised customer profile system serves as the operational record for every borrower the company handles:

  • Full applicant information and personal details in one place
  • Complete contact history across every touchpoint — calls, messages, email, and in-person meetings
  • Loan requirements and eligibility context attached directly to the profile
  • Full application history for returning borrowers
  • Real-time status tracking visible to every agent with access to that record

Every interaction with a borrower, from first enquiry to final disbursement, is captured and traceable from a single profile screen.

Module 2 — Loan Application Management

A structured workflow system replaces the informal, agent-by-agent process that previously governed how applications were handled:

  • New loan requests created and assigned directly in the system
  • Loan type and required financing amount recorded at intake
  • Application progress tracked through defined stages — Intake, Review, Document Collection, Partner Matching, Approval Pending, Approved, and Rejected
  • Internal assignment visible to all agents and managers
  • Every stage change timestamped and attributed to the agent who made it

This module eliminates the "which stage is this application at?" question that previously required a phone call to answer.

Module 3 — Bank & Financing Partner Matching

One of the most operationally complex parts of the business — identifying the right financing partner for each borrower — is now handled through a structured matching workflow rather than agent knowledge alone:

  • Matching logic based on customer requirements, loan type, financing amount, and eligibility parameters
  • Per-partner rules encoded into the system, so agents are guided toward partners whose criteria the borrower actually meets
  • Match history attached to the application record, so any agent can see which partners were considered and why
  • Reduces the risk of applications going to partners who will decline them, shortening the path to approval

Module 4 — Document & KYC Management

A secure document handling system replaces email attachments and WhatsApp file shares:

  • Structured document upload with type categorisation — identity documents, financial statements, employment records, and application attachments stored separately
  • Identity verification status tracked per document — Pending, Submitted, Verified, Rejected — with notes attached
  • All documents associated directly with the borrower profile and application record
  • Access controls ensuring only authorised agents and reviewers can view sensitive financial documents
  • Audit trail on every document action for compliance purposes

Module 5 — Approval Workflow

An automated internal approval process replaces ad hoc manager sign-offs via chat:

  • Applications route to the appropriate reviewer based on loan type and value thresholds
  • Employee assignment tracked and visible throughout the review process
  • Status updates (Approved, Rejected, Returned for More Information, Escalated) triggered within the system
  • Escalation handling for applications that exceed individual approval authority
  • Full history of every approval action, reviewer, and timestamp retained on the record

Module 6 — Repayment & Loan Tracking

Once a loan is approved and disbursed, the CRM continues to manage the relationship:

  • Approved loan records with disbursement details attached
  • Payment schedule tracking — expected vs. received — with overdue flagging
  • Current loan status visible across the agent and management team
  • Customer follow-up tasks generated automatically based on payment schedule
  • Historical loan records retained for returning borrowers and compliance reporting

Module 7 — Admin Dashboard

A complete management view gives leadership real-time operational visibility:

  • Total applications in pipeline by stage
  • Pending requests requiring action
  • Approved and rejected applications by period
  • Team performance metrics — applications processed per agent, approval rates, average time-to-decision

Architecture Decisions

Role-Based Access Control

Different roles in the business — agents, senior agents, managers, and administrators — require different levels of access. A junior agent should not see every loan in the pipeline; a manager needs to. We implemented role-based access control across every module, so the system enforces the right visibility and action permissions for each user type without manual oversight.

SQL / NoSQL Hybrid

The platform uses relational storage (SQL) for structured, transactional data where consistency is critical — customer records, application stages, approval decisions — and document-oriented storage (NoSQL) for flexible, variable-structure data like document metadata and activity logs. This hybrid approach gives the platform both the integrity guarantees a financial product requires and the flexibility to handle evolving data structures as the business scales.

Audit Trail Throughout

Every write action in the system — status changes, document uploads, approval decisions, assignment changes — is logged with a timestamp and attributed user. This audit trail supports both internal accountability and any future compliance or regulatory review the business may face.
